love-him-love-her-lr_smallBilpin Resort is a 'hidden gem' in the lower Blue Mountains area, we are a family run business and pride ourselves in the personal service delivered to all of our Wedding couples, when you call or email us you are dealing directly with the owners of the property and of the business. Bilpin Resort has everything you need for your special day.

You and your guests will have exclusive access to the Resort and its Facilities, including accommodation. We never host more then one wedding on any given day, this allows us to fully focus on your special day and cater to your individual needs and requests.

Flexible, fully catered packages are available.
Our wedding Ceremony and Reception package includes:
• Access to the property from 3pm the day before your wedding to allow for set up and decoration.
• Exclusive venue hire for up to 8 hour duration, includes 5 hour Reception
• Menu options (Brazillian BBQ, a traditional alternate plated menu or a Cocktail menu
• Bar and wait staff
• Ushers - directing your guests to our carpark, reception area, viewing deck and into the BlueGum room / marquee if required.
• Round Tables/table cloths, chairs, white table linen (round), cutlery, napkins & glassware. Long Bridal table with white skirt
• Tea and coffee available at the Reception.
• PA system including a wireless microphone and Ipod connector
• Rubbish removal post event (inc cleaning staff)

From $78* per head packages for a 'Cocktail' reception.

From $98* per head packages for our Brazillian BBQ and Alternate plated menus.

Children aged (2 - 15yrs) are charged at 50% rate

Wedding FAQ

Can I organise my own catering?
No, Bilpin Resort offers complete packages of Venue Hire and full catering - various menu style and options available, please email us for current menus. In order for us to continue our good reputation with food outside catering is strictly not allowed.

Can I hold my Ceremony only at Bilpin Resort
Yes, Although we offer 'Ceremony Only' packages Mon - Thursday (midweek), occasionally Fridays also. Weekends are kept free for Wedding bookings which include both Ceremony and Reception on-site.  'Ceremony Only' packages start from $2500.

How much in advance should I book
We recommend booking at least 12 months in advance to avoid disappointment

What is the cost of a ceremony held within the "Secret Circle"
Cost for ceremonies booked within our "Secret Circle" are $1500*, $750* if booked elsewhere within the gardens on-site
*These prices are applicable only when the ceremony and reception are both held at Bilpin Resort, 'Ceremony Only' packages are priced different.

Can you recommend a good local Marriage Celebrant

Can my marriage celebrant use your microphone?
A good marriage celebrant should supply their own PA equipment. If they do not, we can supply one for use of Celebrant speaking only, our PA system is not intended for producing quality amplified ceremony music.

What happens if it rains
Inclement weather, the wedding ceremony would take place in the BlueGum room, or within the Marquee on-site (if applicable)

Sit down weddings do I need to supply my own name cards and menus ?
Yes, this is up to you to supply as it allows you to add your personal touches to compliment your wedding colours to the brides maids dresses etc.

Can I bring my own alcohol?
You are not the first person and will not be the last to ask this question! 🙂 No, due to our strict liquor license we cannot allow you to supply your own alcohol. It MUST be supplied and served by Bilpin Resort. We work very hard to obtain and retain our liquor license so are very strict on this policy we are sorry.

Do you have a responsible service of alcohol policy?
Yes, we have responsible service of alcohol policy as per the law and it is illegal for us to serve intoxicated or under aged guests, if there is anyone of your guests that you feel may cause a problem on the night / day it may be wise to mention this in advance.

Can I bring my own decorations?
Yes, this is up to you to supply as it allows you to add your personal touches to compliment your wedding colours to the brides maids dresses etc.

In the unfortunate event that I need to cancel my wedding, what is your policy with this?
• A refund of the deposit, less an administration fee of $500 is applicable if the cancellation is received in writing more than 60 days prior to the function date and when cancelled date is re booked. As most Weddings are booked 12- 18 months ahead, a deposit (minus $500) is ONLY refundable if the cancellation date can be re booked. Every effort is made to do this.
• Cancellation within 60 days of the function date is subject to forfeiture of the deposit.
• Cancellation within 30 days of the function date is subject to a fee representing 50% of the Contracted account – This is not applicable in the case of illness or accident, certified by a Medical Practitioner.
• In circumstances where additional equipment and/or services have been arranged by Bilpin Resort on behalf of the Bride and Groom, the cancellation policy associated with these services which may include loss of deposit will borne by the Bride and Groom.

Do you have an operational curfew?
Yes, 11pm

Can I stay with my bridesmaids the night prior to my wedding ?
Yes, there are 5 cabins on-site as well as a 4 bedroom cottage on-site which sleeps 10. There is a full kitchen, 1 x bathroom, Lounge/dining room with fireplace within the cottage. POA for the accommodation.

Can children attend and what is the tariff for kids and teenagers?
Yes. If children do attend your wedding they need to be supervised by an adult at all times. Children aged 2 - 15 years are charged at half of the adult rate of food service, please enquire for prices as they vary depending on menu style chosen.

Do I include my photography end DJ etc in my final numbers?
Yes. Musicians, photographers and service providers may be served food & non alcoholic beverages at an additional cost (please enquire directly for this) however should they wish to take part in the function and be served as one of the guests, consume alcohol then the full tariff will apply. If service providers are seated at the tables with guests for a sit-down meal then the full tariff for the package will be charged.

Can I extend the package?
Yes. All wedding packages may be extended, the tariff to extend the wedding package per person per hour will apply as well as the venue hire fee. You can extend your package on the night of your wedding however we recommend that it is better to decide to do so in advance so we can allocate staffing hours accordingly.

What happens in the event of a natural disaster?
We recommend you seek insurance that will cover you for natural disasters, airline disruptions etc when a reception needs to be cancelled postponed or relocated.

Do I need to meet with you prior to my wedding ?
It is anticipated ( not essential ) that you may need about one hour in total onsite to familiarize again with the property along with our style of operation. We usually arrange this 4 weeks prior to your wedding date. We can always be contacted by email or phone (office hours preferable) should you require more on site meetings other than the above additional tariffs may apply.

I would like to do a wedding ceremony rehearsal is this permitted?
You are more than welcome to come onsite with your bridal party to have a wedding rehearsal as long as there are no other booked events at the time you wish to rehearse, however if you require a member of the Bilpin Resort team to be on site for the duration of this ceremony rehearsal a charge of $50 per hour will apply.

How do I confirm my Wedding date?
Wedding dates are confirmed by payment of a deposit together with a signed copy of our contract.

Do you offer a discount for Friday weddings?
Bilpin Resort is a small boutique retreat in a unique location surrounded by bush. The Resort has huge overheads, mainly insurance, staff and operational costs. For this reason we cannot discount from our already competitive prices, we keep them as low as we can year-round and do not inflate them in peak periods.
